Payment Policy

1. General

The following Payment Terms & Conditions outline our procedures for the payment, refunds, cancellations, and other related terms. By booking or paying for our services, you agree to adhere to these conditions.

2. Service Fees

School & Junior Chess Clubs

Fees: Up to £10.00 + VAT per child, per session, payable in advance for each term.

Sibling Discount: 10% discount applicable for siblings enrolled concurrently.

Tournaments

Fees: Ranging from £10 (Online) to £40 (Face-to-Face).

Sibling Discounts: Applicable; contact us for details.

Prizes: Entry fee includes prizes and medals.

Online Training

Individual Sessions: Up to one hour, £30.00 + VAT per session.

Block Booking Discount: £110 + VAT for 4 sessions (1-to-1 training over the month).

Group Discounts: Additional discounts available for groups or block bookings of up to 12 participants. Please contact us directly to discuss your requirements.

Enrichment Days

Fees: Customised pricing starting from £600 + VAT. Quotes provided based on specific school requirements.

Bonus

All enrolled students receive free access to our Online Coaching Platform.

3. Trial Sessions & Promotions

Complimentary taster sessions are available for all first-time customers before committing to full club bookings. This is a single use offer per customer, whether they are a student, a parent or a school.

Seasonal promotions will be communicated via email and social media and will follow their own terms and conditions.

4. Refunds & Cancellations

On-Site Sessions

Cooling-off Period: 28 days from booking; eligible for a 50% refund on unused sessions.

Online Sessions

Cooling-off Period: 14 days from block booking; eligible for a 50% refund on unused sessions.

Tournaments

Cancellation Notice: Minimum of 14 days prior; eligible for a 75% refund.

Enrichment Days

Cancellation Notice: Cancellation Notice: Minimum of 14 days prior; eligible for an 65% refund.

All refunds are processed within 7 business days from approval. You may also choose to transfer credit towards another service offered by LearnChess Academy.

5. Failed Transactions & Late Payments

Failed Standing Orders: £20 inclusive of VAT fee will apply.

Late Payment: Charged at the equivalent fee of two sessions. LearnChess Academy reserves the right to deny service access until all outstanding payments are settled.

6. Payment Methods

Accepted Methods: Bank transfer, cash payments. Card payments are currently under consideration via SquareUp and will incur processing fees.

7. Taxes & Fees

All stated prices include VAT unless explicitly stated otherwise.

8. Auto-Renewals

Currently not available, but we reserve the right to introduce this service in future, offering incentive-based discounts.

9. Compliance & Age Restrictions

LearnChess Academy is GDPR compliant and registered with ICO.

Purchasers must be aged 18 or older; individuals under 18 must have explicit guardian approval.

10. Modifications to Pricing or Service

We reserve the right to adjust pricing or alter our services outside an ongoing term.

Any updates will be communicated promptly via email.

11. Disputes & Arbitration

All disputes should initially be submitted via email to admin@learnchess.co.uk.

If unresolved informally, a face-to-face discussion with a senior team member will be arranged. Arbitration will be pursued if no resolution is found.

12. Invoices & Receipts

Invoices: Automatically issued for payments over £200 or upon request.

Receipts: Provided upon request; payment acknowledgment is standard practice.
